Posted Job Title Undergraduate Coordinator, Mathematics Job Profile Title Academic Coordinator Job Description Summary The Undergraduate Coordinator supports the day-to-day administration of the Mathematics Department’s Undergraduate Program. This position coordinates courses, examinations, advising, student requests, events, communications, and program resources while working closely with faculty, staff, students, and University offices. Job Description The Mathematics Department is part of Penn’s School of Arts and Sciences and is home to an active community of faculty, graduate students, and undergraduates engaged in teaching, research, and scholarly exchange. The Department supports a broad range of mathematical research, including geometry, analysis, algebra, topology, combinatorics, mathematical physics, and logic. Located in David Rittenhouse Laboratory on Penn’s vibrant campus, the Department offers an intellectually active environment for teaching, research, and undergraduate education. RESPONSIBILITIES: Coordinate undergraduate course scheduling, rostering, classroom requests, and related processes, including fall, spring, and summer courses and coordination with LPS. Assign Mathematics majors and minors to faculty advisors and process student requests for course permits. Coordinate final examination and proctoring schedules, including accommodations, make-up and credit examinations, emergency proctoring, classroom arrangements, and examination materials. Respond to student inquiries by walk-in, telephone, and email and provide information regarding undergraduate program policies, procedures, courses, and resources. Coordinate staffing, materials, room reservations, and communications for the Majors Fair, Undergraduate Club events, and other undergraduate activities. Coordinate with the Undergraduate Chair on the implementation of departmental policies and procedures. Maintain undergraduate program webpages and ensure program materials and communications are accurate and current. Monitor and coordinate textbook inventory for faculty. Prepare and distribute communications to faculty, staff, and teaching assistants regarding beginning- and end-of-year procedures. Provide administrative and operational support for the Undergraduate Program, including backup support for the preparation and photocopying of quizzes and examinations.
