Job Description The School of Nursing & Healthcare Leadership (SNHCL) has an outstanding opportunity for a Program Coordinator to join their team. About this Opportunity Reporting to the Academic Services-Director, the Program Coordinator is responsible for providing complex administrative support under the general direction of the Academic Services Director. This includes providing support for faculty payroll, scholarship processing, assisting in monitoring nursing operations and scholarship budgets, coordinating and overseeing quarterly duties, and assisting in planning and coordination of special events and projects. Key Responsibilities Fiscal Support (40%): Input departmental expenditures via e-procurement, ProCard, and purchase orders; process reimbursements, invoices, and travel reimbursements. Perform budget reconciliation for the School’s state, scholarships, discretionary and Founder’s budgets. Interpret, follow, and advise on the University’s purchasing policies and procedures relating to reimbursements, procurement, and ProCard usage for the University of Washington. Operations and Payroll (20%): In Workday, maintain faculty appointment FTE and costing allocations, track and submit excess compensation and period activity pay, input and track part-time lecturer appointments, run reports and oversee payroll processing to ensure that employees are paid in a timely manner, and process a variety of compensation events. Process all course releases and buyouts for SNHCL faculty on large grants. Scholarships (20%): Update and prepare advertisements and applications for nursing scholarships. Compile, input data, and organize essays for committee review. Generate acceptance and denial letters. Forward awardees and budget information to Financial Aid for distribution of funds, and Advancement office for donor's notification. Administrative Support (20%): Manage SNHCL student records and retention according to UW policies and schedule. Oversee the department quarterly functions, including textbook and course material orders, distributing and collecting course evaluations. Schedule council and committee meetings, book rooms for events, order catering for events and meetings, coordinate department supply orders, and provide administrative support to the department as needed. Provide back-up receptionist duties as needed, and perform other duties as assigned. Minimum Qualifications Applicants who do not meet these qualifications WILL NOT be forwarded to the Hiring Manager. High school graduation or equivalent AND two years of experience providing both fiscal and administrative support in a college academic department. Additional Qualifications Experience with Microsoft Office Suite & the ability to adapt to new technologies. Excellent communicator--in writing, electronically, orally. Excellent attention to detail. Ability to problem-solve and use critical thinking; ability to multi-task and respond to emergent needs. Ability to work independently and collaboratively as an effective team member. Professional, approachable, and friendly demeanor.
