Union: Non-union Number of vacancies: 1 New or Replacement Position: Replacement Site: 67 College Street Department: FM-PRO Reports to: Manager, Campus Improvement Team Salary Range: $30.04 - $45.06 per hour Hours: 15 hours per week Shifts: Day shifts; 2 days per week Status: Temporary Part-time Closing Date: October 1, 2026 Position Summary The Artwork Coordinator is responsible for supporting the management, documentation, preservation, installation, and strategic development of the University Health Network (UHN) art collection. The incumbent will oversee collection inventories, maintain collection records and databases, coordinate artwork movements and installations, and support acquisitions and donations across multiple UHN sites. The role requires strong organizational skills, attention to detail, and the ability to collaborate effectively with internal stakeholders and external partners to ensure the collection is accurately documented, preserved, and accessible. Duties Conduct a comprehensive inventory of artwork in public spaces and storage areas across all UHN locations. Photograph and catalogue each piece, ensuring high-quality visual documentation. Maintain accurate records using appropriate software tools (e.g., Excel and Catalogit) for information management. Maintain collection databases, inventories, and digital archives to ensure accessibility and compliance with internal standards. Coordinate with multiple stakeholders across sites to gather necessary information on art in collection. Curate and develop the collection through research, interpretation, and strategic acquisitions. Coordinate artwork installations, deinstallations, packing, transportation, and storage. Facilitate artwork loans. Liaise with artists, collectors, galleries, museums, conservators, and other external partners. Work on large scale acquisitions for new projects. Assist with acquisitions, donations, and deaccession recommendations. Diploma in Fine Arts, Museum Studies, Arts Administration, Project Management, Collections Management, or a related field required. Bachelor's degree in Fine Arts, Art History, Museum Studies, Arts Administration, or a related field preferred. One (1) to two (2) years of related experience in arts administration, collections management, museum/gallery operations, project coordination, or a related environment. Experience coordinating projects involving documentation, inventory management, records management, or stakeholder engagement is preferred. Excellent organizational skills with a high degree of accuracy, attention to detail, and records management expertise. Experience maintaining records, databases, inventories, and project documentation with strong knowledge of artwork documentation, collections management, and artwork handling practices. Proficiency with Microsoft Excel and collections management software such as CatalogIt or similar database systems. Strong project coordination skills with the ability to manage multiple priorities across various sites. Ability to work independently and coordinate activities across multiple locations. Strong research, analytical, and problem-solving abilities to support acquisitions, collection development, and strategic planning. Strong communication and stakeholder management skills.
